Instructions for the preparation of full papers
Conference Proceedings 'Grassland Science in Europe' Vol. 9
and 'Book of Abstracts'
General information
To ensure uniformity in style and layout throughout the proceedings please
follow the instructions carefully. Please refer also to the sample paper.
Deadline for receipt of manuscripts is the 31st October 2003.

Please submit manuscripts written in English (British spelling) on two paper
printouts and by e-mail (or floppy disc). The submission should comprise
of the following files:
'xxxxNAMEfpa.doc'
The full paper including the text, followed by the tables with legends
(only one table per page) and finally figures with legends (only one figure per page).
Figures in full (100%) size, imported as a picture (into Word), and with interrupted
OLE (Object Linking and Embedding) links.
The file should be prepared using Microsoft
Word 6.0/7.0/Word97/Word2000.

you prefer oral or poster presentation. (Only a limited number of oral presentation
will be possible.)

Figures; please provide also original Excel (.xls), Power Point (.ppt) or SigmaPlot
(.jnb) files.
(where 'xxxx' represents the reference number of your full paper given by
the Scientific Committee; 'NAME' represents the surname of the first author,
abbreviated to the first five characters. If your name is Kessler and the
reference number is 1234 your file of the full paper would become 1234KESSLfpa.doc.
Please write the file names also on the label of the floppy disc.)
Language
Papers must be written in English (British spelling). Prior to submission to
the Scientific Committee manuscripts have to be checked for correct language,
by a native English speaker. Manuscripts showing serious linguistic shortcomings
will not be accepted for publication.
Reviewing
The papers will be peer reviewed. If there are substantial comments or
corrections, the papers will be returned to the authors for revision.
Otherwise there will be no opportunity for the authors to correct after
submission. Manuscripts showing serious shortcomings in layout/formatting
will not be accepted for publication.
Layout - Formatting of manuscript

In MS-Word the style of the whole document should be set as 'Normal'.
Please check that no paragraph has its style automatically changed
by the 'AutoFormat' function of MS-Word.
Length of paper
The number of pages (A4) is restricted to 10 for invited papers and 3 for
offered papers including tables, figures and references. An A4 page holds
about 3000 typed characters, including open spaces. So the manuscript of an
offered paper should not exceed 9000 characters.
Structure
Each contribution starts with the title and the author(s). An abstract of max.
200 words follows, then a list of keywords (max. 6). The main text should follow,
divided into sections. The last section should list references alphabetically.
Page size and font
- Set page size to A4, all margins at 2.5 cm
- Use single line spacing and left-align the text
- Use font Times New Roman, size 12; for tables and the reference list use 10 points
- Do not use bold characters or indentation
- Do not use page numbering
- Put Latin biological names and 'et al.' in italics
- Do not use a hard return at the end of a line. Use only a hard return at the
end of a text paragraph, a heading or a caption. Leave a blank line between sections
- Turn the hyphenation option off
- If you are going to use the common name of plant species, please give the
respective Latin name in parentheses at first mentioning
- Use single ('……') instead of double quotation marks ("……")
- For symbols and international characters, use the 'Insert/Symbol/Times New Roman' option
Title and headings
The title should have a maximum of 15 words. Skip one line and continue with the
name of the author(s) in the format: surname initials, etc. surname initials and
surname initials (omit titles). Skip one line and type the name and address of
the institute(s). If there are authors from more than one institute, then number
them progressively (superscript) and repeat this number next to their address.
Then skip one line.
The title and section headings should be typed in lower case letters and not in
capital. There will be only one level of headings permitted for the offered papers.
(Two levels for invited papers. Please indicate on the printout of the manuscript
the level of the heading by marking L1 or L2 in the left-hand margin i.e. L1 for
level 1 and L2 for level 2).
Footnotes should be omitted. Put the information in the text in parentheses.
Tables
Use them sparingly. For tables only use font 'Times New Roman', regular, 10 points.
Arrange them according to the following system:
- Use for tables the 'Table/Insert table' and not 'Table/Draw table' option
- Use only the horizontal border lines from 'Format/Borders' option
- Primary column and row headings should start with an initial capital,
secondary headings without initial capital. Left-align all headings
- Use TAB and not space bar between columns
- Notes should be referred to in table by superscript letters
- Please put tables at the end of manuscript in portrait and not landscape layout
- Do not use hard return ('Enter') or blank spaces ('Spacebar') in the cells.
Place only one numerical value per cell. Align left the whole table and the table contents.
Use the 'Table/AutoFit/Distribute columns evenly' and 'Table/AutoFit/Distribute rows
evenly' options. If there is a common heading of 2 or more columns (or rows), place it
in the left most common column (uppermost row). Do not merge the cells of that heading.
- In order to exclude any misunderstanding or ambiguities please provide also an additional
'camera ready' copy of the table, immediately after the above 'work' copy
- Give table legends at the end of the manuscript in normal (regular) lower case letters
- Please indicate on the printout of the manuscript the places of tables by T1, T2, etc, in the left-hand margin
Figures
- Bear in mind that the manuscript will be reduced when printed (to 80% of the A4 size)
and that the size of lettering in a drawing/graph should never become smaller than
2 mm after reduction. When making a full-page graph it is advisable not to reduce
the font size to less than 16 points. Please use font 'Arial' within the figures.
- Send the full-size (100%) originals. Photocopies of artwork are unsuitable.
- Keep in mind that a figure should take up not less than one third of the page
lengthwise - this corresponds to 17 blank lines including the legend.
- Give figure legends at the end of the manuscript in normal (regular) lower case letters.
- Please indicate on the printout of the manuscript the positioning of figures by
marking Fl, F2, etc. in the left-hand margin.
Photographs
Photographs are principally not accepted. If a photograph is the only means
of conveying necessary information please contact the Scientific Committee.
Acknowledgements
Any acknowledgements should follow the discussion. If references to grant
support are cited, write out complete names of the funding agencies.
References
For references within the text, use the format 'author (year)' for a single reference
only, or '(author, year; author, year)' for one or more references; please, use round
brackets only. Use 'and' and not '&'. If there are more than two authors per reference,
reduce to 'first author et al., year'. If several papers by the same first author or
by first authors with the same surname and published in the same year are cited, the
year of publication should be suffixed by the letters a, b, c, etc. All sources quoted
in the text should be listed in the list of references at the end of the paper.
For the list of references use 'Times New Roman' size 10.
References are listed first alphabetically and then chronologically.
Each reference should be arranged in the appropriate standard as follows:

Use a hard return after each reference. Do not leave blank lines between references.
Abbreviations, units and numbers
Only SI units and abbreviations should be used. Abbreviations should be
explained when they first appear in the text. If a non-standard abbreviation
is to be used extensively, it should be defined in full.
For mineral contents in
soil, fertilizers, manures, plants and animal products, etc., the elements
(i.e. P, N, K, etc.) should be used instead of their oxides. Isotopes should be
indicated as 14C, 32P, etc.; ions should be mentioned as H+, Mg2+, etc.
For molar
concentrations italic M should be used. Write measurement units as scientific
notations (use kg ha-1 and not kg/ha), concentration as g kg-1 and not as percentage (%).
In numbers, use the 'full stop' decimal separator instead of 'comma'.
Use a 'comma' for thousands etc., e.g. 1,230.4 (one thousand two hundred
and thirty and four tenths) instead of 1230,4. Where a number does not
refer to a unit of measurement or the number begins a sentence it should be
spelled out except if it exceeds one hundred.
Book of abstracts
Apart from the 'Conference Proceedings' to be published in Grassland Science in Europe,
Vol. 9, a 'Book of Abstracts' will be published with all oral and poster contributions to the conference.
The abstract is limited to a maximum of 200 words.
For the 'Book of Abstracts' the abstract submitted with the 'full paper'
(file 'xxxxNAMEfpa.doc') will be used. Abstracts will be published in
the Book of Abstracts in the form/layout they were submitted. There will
be no opportunity for the authors to correct after submission.
